ARTIST SERVICES

Artist Services Coordinator

Description: Artist Services Coordinators are the principle liaison between artists and the Festival. ASCs are each assigned several companies and will fulfill artist needs as well as communicate/coordinate artist needs with appropriate Festival departments including Production, Public Relations, Audience Services, and Hospitality.

Requirements: Theatrical Company Management or related experience required.  Must have calm and efficient problem solving and multi-tasking abilities as well as excellent organizational and communication skills. ASCs must be “people-persons”, able to effectively communicate not only with artists from all over the world, but also with technicians and managers.

Hospitality Manager

Number Required: 1

Schedule: Part-time until June, then Full-time

Description: The Hospitality Manager plans and implements all meal and food service needs for the artists and staff at the Festival. The job involves working with community partners to negotiate food donations and discounts, and fulfilling artist rider needs.

The Hospitality Manager will manage a team of 2 – 3 assistants and/or interns, and will coordinate with Development, and Production as needs and opportunities overlap.

Requirements: The Hospitality Manager is a hybrid job. In the planning phase, the Hospitality Manager will need to be extremely organized and detail oriented to understand and organize the hospitality needs of the Festival. There is also a significant Development aspect of the job in coordinating as much donated food and flowers as possible. Later, the Hospitality Manger must be willing and able to roll up his/her sleeves and get venues set up and ready to go one minute, and pass champagne for an opening night toast the next. The Hospitality Manager should be competent with MS Office and should be able to life 25 pounds and spend a good deal of time on his/her feet.

Hospitality Assistants

Schedule:  Full-time

Description: Hospitality Assistants are responsible for the organization, delivery, set-up and strike of artist green room food, beverages, and other hospitality items. Hospitality Assistants also set up and strike post-show receptions, and act as hosts throughout these events.

Requirements: Must be organized and have the ability to safely lift 25 lbs. Able to set-up/strike food quickly, cleanly, efficiently, and unobtrusively; and have a flair with flowers, food, and fun. Food service experience preferred.

Artist Drivers

Schedule:  Full-time

Description: Artist Drivers meet the transportation needs of artists (and artist’s gear), members of Festival staff, and VIPs, using Festival-rented vehicles.  Transportation needs range from NYC airport pick up and drop-offs to local transportation between hotels and venues.  

Requirements: Drivers must be at least 25 years of age and have a clean driving record. Drivers must be able to drive a 15 passenger van and have a general knowledge of the Greater New Haven area. Drivers are expected to assist with the loading and unloading of materials, luggage, and equipment. A friendly demeanor and an easy-going personality are big plusses!

AUDIENCE SERVICES

House Management Captain

Description: The House Management Captain is responsible for front-of-house management and operations at all Festival events – free, ticketed, indoor, and outdoor. The House Management Captain will develop a master schedule and HM training materials, hire, train, and supervise a House Management team of 7-10 people, and oversee their scheduling, job performance, and payroll.

Requirements: Must have management or supervisory experience in theatrical house management; excellent customer service skills; and solid computer abilities.

DEVELOPMENT

Development Intern

Schedule:  Part-Time

Description: The Development Intern will assist with donor solicitations and mailings, filing tasks, benefit fulfillment, and prospect research, and provide special event support and other tasks as requested. The ideal candidate will be able to commit to at least 8-10 hours per week. The intern will also assist with the planning and execution of major and minor fundraising and cultivation events, community engagement gatherings, and VIP hospitality services to patrons and donors during the Festival.

Requirements: Excellent verbal and written communication skills. Persons with or seeking degrees in the arts, communications, hospitality or business/management are encouraged to apply. Must have Adequate skills in Microsoft Word, Excel and Access; familiarity with database work a plus.

GENERAL OFFICE STAFF

Administrative Assistant

Description: The Administrative Assistant will provide excellent front-line customer service to both callers and visitors, answering routine inquiries, and referring others to the appropriate staff member. The Administrative Assistant will provide general administrative support to Festival staff, and assist in the orientation of incoming staff and crew.

Requirements: Must have excellent customer service, administrative, and organizational skills; ability to calmly manage multiple phone lines and simultaneous requests. Good computer skills, including Word, Excel, and Outlook required. Access database ability preferred.

PRODUCTION & OPERATIONS

Audio Crew

Description: The Festival Audio Crew works under the direction of the Audio Supervisor to install, operate and strike audio systems at all Festival venues and events.

Requirements: Must have basic knowledge of current audio systems, some experience of live mixing; and the ability to work with artists and the general public. Must be able to safely lift 50 lbs.

Lighting Supervisor

Description: The Festival Lighting Supervisor is responsible for the design, installation and operation of all Festival lighting and temporary electrical systems, and the supervision of all lighting crew. The Festival Lighting Supervisor will liaise with artists and vendors to ensure the appropriate lighting support for all Festival events.

Requirements: Must have extensive knowledge of current lighting equipment, electrical codes, excellent people skills; and experience at a supervisory level.

Lighting Crew

Operations Manager

Description: The Operations Manager is responsible for managing the master schedule of all non-technical needs of the Festival as a whole, and for the implementation thereof, including the safe and timely installation, strike, and storage of a broad array of infrastructure elements, equipment, and signage; and the distribution and retrieval of materials, collateral, and supplies.  

The Operations Manager will work with and supervise a crew of 5-6 people.

Requirements: Excellent organizational and scheduling abilities. Good communication and people-skills. Strong, mechanically inclined, able to safely lift 50 pounds. Must be over 25 with a clean driver’s license and be comfortable driving a cargo van and mid-sized box truck. Calm and efficient problem solving and multi-tasking abilities and a willingness to jump in, get dirty, and laugh about it later.

Description: Operations crew members work under the direction of the Operations Manager in the safe and timely installation, strike, and storage of a broad array of infrastructure elements, equipment, and signage; and the distribution and retrieval of materials, collateral, and supplies.  

Requirements: Hardworking and strong. Must be able to safely lift 50 pounds. Good communication skills, flexible, good humored. A clean driver’s license and the ability to drive cargo vans and mid-sized box trucks preferred.

Outdoor Event Crew/Carpenters

Description: The Greens Crew work under the Technical Director to build, install, maintain and strike all Festival scenic elements and properties.

Production Stage Managers

Description: Production Stage Managers are responsible for Festival produced events, shows and programs. The Production Stage Manager will liaise with Festival programming staff, the Production Manager and the artists. PSMs will supervise SMs and ASMs and certain Festival crew assigned to their events.

Requirements: Minimum 3 years professional experience at SM/PSM level, excellent organizational and interpersonal skills.

Stage Managers & ASMs

Description: Festival SMs and ASMs will work under the PSMs to run smaller events and shows, and assist in the running of larger productions. They may also be required to perform as general crew during set up and strike.

Requirements: Must have prior experience in a stage management capacity, good interpersonal skills, and a willingness to learn. Must be able to safely lift 50 lbs.

Production Office Manager

Description: The Production Office Manager is responsible for overseeing all administrative areas of Festival production, including preparing staff orientation materials, credentials, schedules, and contact lists; knowledgably routing calls and messages, coordinating staff meals, and maintaining the communications center.

Requirements: Experience working in a theatrical or festival production environment. Ability to calmly manage multiple phone lines and simultaneous requests. Good computer skills, including Word, Excel, and Outlook.  Some lifting and carrying also required.

VIDEOGRAPHY

Festival Videographer

Description: The Festival Videographer is responsible for recording and editing video content of events occurring prior to and during the Festival. The Videographer will prepare content for broadcast through multiple media, including preparing DVDS and uploading material to the Festival’s website and other commercial websites. The Festival videographer will assist in the supervision of 3-4 Video Interns and help oversee their scheduling and job performance.

Requirements: Professional experience creating original video content for broadcast required. Must have expertise in the operation of video camera equipment, and be knowledgeable about lighting and audio for film. Proficiency with Mac audio/video editing systems, and most commonly used video uploading protocols. Work samples required upon request.
